The register at your gate is not a security control; it is a record of the intention to keep one. Replacing it takes one phone per gate and about a week.
Digitising gate entry replaces the paper register with pre-approved passes, photo-verified entry and a searchable log. It requires an Android phone per gate, works offline when the network drops, and typically takes about a week including guard training.
Why this problem persists
The register fails structurally rather than through carelessness.
Registers record names, not truth
A name written at a gate at speed, by a guard who is simultaneously raising a barrier and answering an intercom, is unreadable within a week. Phone numbers are transposed and never dialled. Nothing about the visitor was ever verified.
Exit times go unrecorded because nobody is at the gate when the visitor leaves, which means the register cannot answer who is on the property right now — the single question it exists to answer.
Guards cannot verify who is expected
Without pre-approval, every arrival is a judgement call made by a guard with no information. The alternative is an intercom call to the flat for every visitor, which does not scale past about thirty arrivals a day and produces a queue at peak.
What gets dropped first under that pressure is the recording, so the busiest hours — when an unfamiliar person is most likely to pass unremarked — are the least documented.
Incidents leave no usable trail
After a theft, the committee turns to the book and finds three illegible entries and no exit times across the relevant afternoon. There is no photograph, no way to confirm a phone number was real, and no way to search months of entries for the same person visiting different flats.
By then the information would have been valuable and it does not exist. The register was never going to produce it.

Every entry accountable and searchable
Each entry carries a time, a gate, a guard, a photograph and the flat being visited. The question of who visited a flat in March, or whether a number has been here before, is answered in seconds rather than not at all.
Exit capture is what completes it. Scanning out closes the entry, so the count of people currently on the property becomes a number the system can state rather than an estimate.
Unknown entries drop
Pre-approval removes the largest source of unlogged entry, which is a guard waving through someone who seems expected because the queue is building. Where deliveries previously went straight up unlogged, a standing preference per flat handles them at the gate instead.
How far this falls depends on how the property was operating before. A gate that was already reasonably disciplined will see a smaller change than one where the register had effectively stopped being filled in.
Residents notice within a week
Guests arrive with a code and walk in. Deliveries are handled the way the resident chose rather than by a phone call at an inconvenient moment. Domestic staff enter without a daily approval.
This matters operationally as well as reputationally: the gate is what persuades residents to install the app, and app adoption is what makes billing, notices and complaints work afterwards.
