Where MyGate fits well

MyGate earned its position by solving the gate properly and getting residents to actually install the app, which is the harder half of the problem. Resident adoption is the thing that decides whether a gate system works, and a society where most flats already have MyGate installed and use it daily has an asset that is genuinely expensive to rebuild.

If your society’s difficulties are concentrated at the gate — visitor queues, deliveries piling up, domestic staff entry, an intercom that rings unanswered — MyGate addresses them and switching for its own sake would be disruption without a return. The same is true if your accounts are already handled competently by a chartered accountant working in Tally and nobody is complaining about the books.

We would also point you elsewhere if your requirement is a single-tower building of twenty flats with no employed staff and no meaningful ledger. At that size, per-unit pricing for a full platform is poor value, and a gate app plus a spreadsheet is an honest answer.

A collections module tells you what came in and what is outstanding; it does not produce a trial balance, and it does not survive an audit on its own. Ask both vendors for a single annual figure for your actual unit count, with every module you intend to use switched on, payment gateway charges stated separately with the rate per transaction, onboarding and data migration priced explicitly, and the notice period and any minimum term in writing. Vendors quote in different shapes, and the shape is usually where the difference hides.

  • Ask for the all-in annual figure. Not the per-flat headline. Multiply it out yourself and compare totals.
  • Get gateway charges in writing. A per-transaction rate on every maintenance payment is a real annual cost at portfolio scale.
  • Check the exit terms. Notice period, minimum term, and — critically — whether you can export your data and in what format.
  • Price migration separately. Opening balances and member history are the expensive part of any switch.

Export and map your member and unit data
Members, units, ownership and tenancy, staff lists and vehicle records export from your existing system and load through guided imports. This is the step where data quality problems surface — duplicate members, flats with no recorded owner — and it is better to fix them here than to carry them across.

Load opening balances as at a cut-off date
Pick a cut-off, usually the start of a billing month or a financial year. Outstanding dues per unit, advance balances and fund balances load as opening figures. The old system stays readable for history; the new one starts clean from the cut-off rather than trying to replay years of transactions.

Run one billing cycle in parallel
Raise the same month’s bills in both systems and compare them line by line before anything reaches a resident. Discrepancies at this point are almost always a billing rule that was implicit in the old system and has to be stated explicitly in the new one.

Gate workflows are conceptually the same, so training is a single session plus a few supervised shifts rather than a retraining programme. Switch the gate last, once billing is proven, so that a problem in the ledger never becomes a problem at the barrier.
