Make moving day boring, in a good way

A move is the single event where a society’s records, its finances and its physical operations all have to change at once, and in most properties it is handled by a phone call to the manager. The manager may or may not check dues, may or may not collect the deposit, and almost certainly does not tell the gate.

The consequences show up later and are all avoidable. An outgoing tenant leaves with three months of dues outstanding and the owner discovers it a quarter later. A move-in happens on the same afternoon as another, and both families fight over the service lift. Damage to a lobby wall is noticed the following week with no way to attribute it. The new tenant has no app access, no gate passes and no idea what the amenity rules are.

Sequencing all of it as a request with approvals is not bureaucracy for its own sake. It is the only way the dues check happens before the truck arrives rather than after it has left.

  • Dues are checked too late. After a tenant has left is the worst possible moment to discover arrears.
  • The gate is not told. Movers arrive unannounced, and the lift is already booked by someone else.
  • Damage cannot be attributed. Without a condition record on the day, a scuffed lobby is nobody’s fault.

Digital move-in and move-out requests

The resident or owner raises a request with the intended date, the type of move, and the details of the incoming or outgoing occupant. It becomes a tracked item with a status rather than a conversation.

Because the request carries a date, the society can see the moves scheduled for a given week and spot collisions — two moves on the same Sunday in the same tower — before both are approved.

Dues clearance and NOC workflow

Approval is conditional on outstanding dues being cleared, checked against the live ledger rather than a figure someone quotes. The NOC issues automatically once the conditions the committee has set are met.

Whether a society may withhold an NOC, and on what grounds, is set by the registered bye-laws — this varies, and a blanket policy of refusing NOCs for any outstanding amount is not always defensible. The workflow enforces whatever rule the society has resolved, and records who approved what.

Move checklists and deposits

A checklist covers what has to happen: condition inspection, deposit collected, documents received, police verification for a new tenant, keys and access handed over. Nothing is marked complete without its evidence.

Refundable moving deposits are collected and held as liabilities against the unit, then released or adjusted after the post-move inspection with the evidence attached. That is the mechanism that makes damage recoverable rather than merely regrettable.

Gate and lift coordination

Approved moves book a service lift slot and notify the gate, so the movers are expected, their vehicle is logged, and the lift is protected and reserved for the window.

The packers-and-movers crew is entered as a group visitor entry for the duration, which means the people entering the property during a move are recorded like anybody else — a gap that most manual processes leave wide open.

Handover documentation

The condition inspection at move-in becomes the baseline for the move-out comparison, with photographs on both sides. Meter readings, keys, access cards and fittings handed over are recorded.

For a tenanted flat the same pack goes to the owner, which is the main thing an owner living elsewhere actually wants: documented evidence of the state their property was handed over in and taken back in.

Tenant onboarding to the app

A completed move-in provisions the new occupant: app access, gate passes for family and domestic staff, the bye-laws and house rules, amenity access, and their billing account. It happens as part of the move rather than as a request three weeks later.

Onboarding at the moment of arrival is also when a resident is most receptive to being told the rules, which is a small thing that measurably reduces the first-quarter complaint rate from new residents.
